Retiring Alumni Services in Google Workspace

This decision, driven by Google-initiated licensing changes and the need to mitigate cybersecurity and data privacy risks, was made after careful deliberation. This change comes alongside the university transitioning its entire email suite to Microsoft. 

There are two solutions for exporting your Google data. The first is Google Takeout (https://takeout.google.com/) Google Takeout allows you to choose what data you would like to export and then download that data. The second is Takeout Transfer (https://takeout.google.com/transfer). Takeout Transfer allows you to transfer your Google Mail and Google Drive data to another Google account that you control. The destination account will need the available space to accept the data.

If you use the “Login with Google” option to log into an account, these logins will stop working. You will need to transition those third-party logins to a personal account/email address that you have access to.

If you login using a username/password combination where the username is the email address, this will likely continue to function. However, when you no longer have access to the Vanderbilt email used for the account, you will stop receiving those emails and that could prevent login as sometimes the email address is used for things, such as multi-factor authentication and password resets.

If you have issues with transitioning these account logins, you should contact the third party for support.

Ways to make sure the transition is smooth include:

• Any services (newsletters, websites, streaming services, social media etc.) for which you use your Vanderbilt email address, log into those and update the email address on file to a different or personal address.
• Set an out of office message on your Vanderbilt email address saying that this email address is no longer checked, and to please send to your other contact.
• Notify your most important contacts that have been emailing your Vanderbilt email address and inform them to update their contact for you to your personal address.

Yes, during the 2025 summer, VUIT is migrating all current undergraduate students from Google Workspace/Gmail to Microsoft 365 for email and storage services.

Important files should be transferred to a current student as early as possible. VUIT is migrating all files owned by current students this summer. Current students will also lose access to their Google Workspace accounts on August 22, 2025.
